This year at GI, we would like to bring together a team of student volunteers to assist the community in creating a fun and engaging conference experience! Student volunteers are expected to be enthusiastic and interested undergraduate students, graduate students, or postdocs.
What will I do as a Student Volunteer?
Student volunteers are expected to collaborate with the conference’s organizing committee, particularly the student volunteer chairs, to assist with operational tasks before, during, and after the conference. Being a student volunteer presents you with opportunities to meet some of your peers and interact with people in the community while completing your duties. Some of the broader tasks you might be asked to help with as a student volunteer include, but are not limited to:
- Managing session rooms by greeting speakers, introducing the setup, and assisting audience members to ask questions
- Assisting as required with crowd management for social activities
- Helping with attendee registration and other general conference logistics
- Troubleshooting hybrid sessions
As a student volunteer, you agree to:
- Be present, in-person, for the entirety of the conference
- Work around 12-16 hours before, during, or after the conference dates
- Attend an in-person orientation at the University of Victoria on Monday, May 29th
- Show up on time to complete tasks
- Be flexible and willing to complete duties in a respectful and timely manner
Benefits of Being a Student Volunteer
As a student volunteer, we commit to:
- Waiving your registration fee (but please note, we cannot waive the author registration/publication fee)
- Providing you with a free student volunteer t-shirt which is to be collected on site
- Providing meals when your assigned student volunteer tasks overlap with breakfast, lunch, or dinner
- Providing accommodation for student volunteers from outside the Greater Victoria region for a maximum of 5 nights (the nights of Monday, May 29th – Friday, June 2nd, inclusive)
- Hosting an informal student volunteer social just for you!
Applying to be a Student Volunteer:
The SV application form will be open on March 1st, 2023 at https://bit.ly/gi-23-sv and will be closed on April 5th, 2023. Approximately 6 students will be selected as SVs for this year’s conference, and you will hear back from the SV chairs via email regarding your SV status approximately 2 weeks after the application form closes. As we can only accommodate a small number of student volunteers, if you are not selected, you will be assigned to a waitlist.
